Submittals
Submittals Test Mode Enablement at Credential Level
What’s new?
Submittals users can now enable Submittals Test Mode at the Credential level. This was previously only available at the Account level.
Why does it matter?
This change allows you to selectively enable Submittal Test Mode without disabling full functionality on live credentials. This is useful if you onboard directly to production without testing in a non-production environment.
How do I enable this?
Do the following:
- In VMS Sync Admins Tools, go to the Accounts menu.
- Select the account you want to change and click View Account.
- Under Features, set the following:
- Submittals Enabled: On
- Submittals Test Mode: Off
- Go to the Credentials menu.
- Select the credential you want to change and click View Credential.
- Under Features, set the following:
- Submittals Enabled: On
- Submittals Test Mode: On
Positions
Locumsmart Positions VMS Attachments
What’s new?
Locumsmart positions now contain VMS attachments.
Why does it matter?
Position attachments usually contain info unavailable on the web posting. This change ensures no information is lost when jobs are created by VMS Sync.
How do I enable this?
Bullhorn users need to set one of the following to On:
- Account Features: Global Attachments Enabled
- Credential Features: Position Attachments
Salesforce users need to:
- Reach out to Bullhorn VMS Support to configure S3 Bucket settings. You’ll need to provide the following info:
- S3 Bucket
- S3 Access Key ID
- S3 Secret Access Key
- Create a rule to add the attachment URLs to ATS Job field. (More information is available here.)

Resolved Issues
Admin Tools: Optional Fields Not Saving on Credential Creation
Optional field values are now saving when creating a new Credential improving Admin Tools reliability and reducing end user manual entry.

Credentials: Beeline Credential Authentication failures
An issue has been resolved where authentication for Beeline credentials would fail. This fix keeps Beeline Credentials with valid login details enabled, ensuring continued position delivery.

Parsing: Missing Fields and Values for French Language Fieldglass Positions
Previously, Fieldglass positions with the French language preference wouldn’t successfully parse all fields. Additional fields are now parsed for French Fieldglass Credentials. This fix reduces the need to use VMS and ATS products simultaneously and perform manual job order edits.
Users with Rule writing permission can now add Rules to import French field values to the ATS Job Order
All other users can contact VMS Sync Support to add Rules
Positions: Missing IQNavigator Position Attachments
Previously, IQNavigator position attachments under the Customer Defined Fields section weren’t captured and delivered correctly. IQN position attachments now parse from the VMS to the ATS as expected. This ensures that information present in position attachments that aren’t in the VMS posting is kept and increases product reliability, reducing the need to use the VMS and ATS side by side.
The following Admin Tools settings must be enabled to benefit from this update:

Positions: RTGExchange Positions Missing Start and End Date
RTGExchange positions now contain a start and end date. This helps to accurately calculate the duration of positions.
Requisitions: AyaConnect “Unknown response on authorization” Error
Updated backend handling to restore AyaConnect req processing to eliminate requisition delivery delay.

Submittals: Fieldglass “Max Rate Exceeded” Warning Repeatedly Displays
Resolved issue with Max Rate Exceeded warning message repeatedly displaying on the Submit to VMS form. This warning now only displays when you click out of the field. Displaying a warning message only when appropriate improves product usability.

Submittals: Fieldglass Submittal and Attachment Upload Issues
Multiple issues with Fieldglass credentials have been resolved, including fixes to submittal functionality and requisition attachment uploads. Being able to submit from within the ATS and successfully attach VMS documents to ATS jobs reduces the need for users to use VMS and ATS products side by side to manually correct ATS data.

Submittals: Honda Fieldglass Submittals Missing Qualification Fields
An issue has been resolved where Honda Fieldglass submittals didn’t display Qualification fields. This change lowers the time end-users spend manually entering data and toggling between the ATS and VMS Sync.
Submittals: PDF Resumes Cause VMS Submission Rejections in Fieldglass UAT
An issue was resolved and we now ignore Resume Assessment warnings from Fieldglass VMS when submitting Candidates to Positions. Bypassing this VMS warning prevents valid submissions from being rejected, reducing duplicate data entry and improving product reliability.

VMS Selectors: Positions: Missing Rates Values from B4Health “Contract” Type Records
Retrieving additional rate values for B4Health Contract Positions which allows parsing as much VMS data as possible to reduce end user product swivel and manual Job Order edits.

Submission Warning Message Parsing for Fieldglass Positions
What’s new?
VMS Sync can now parse Submission warning messages for Fieldglass positions and display them in a new Warning Submission Message field.
Why does it matter?
Clearer warning messages indicate when Fieldglass is no longer accepting submissions for a position and why. Viewing these messages within ATS jobs reduces the need to swivel between multiple products and prevents unnecessary work.
How do I enable this?
Users with rule-writing permission can add a rule to pull the value of additionalDetails.warningSubmissionMessage into an ATS field. All other users can contact VMS Sync Support to add rules.

Resolved Issues
Data Replication – Candidate Certifications updated when merging records
We resolved an issue where Candidate or Contact file attachments were not associated after a user merges records. The attachments associated with the merged record now appear in the corp’s Data Replicator database.
Jobs – Open Source Career Portal: Issue resolved with submissions linking to deleted candidate records
An issue was resolved where the resumes of candidates who applied through a client’s Open Source Career Portal were being parsed as submissions to the candidate’s deleted record. This occurred when a candidate had a deleted record and an active record. This fix ensures the parsed resume only gets submitted to the active candidate record.
Shifts
Shift Assignment List: Scheduled End Time default column
What’s new?
The Shift Assignment list view now has Scheduled End Time available as a default column which displays the date and time value.
Why does it matter?
You can sort the list with this new column to perform faster shift management operations.

What’s new?
If you have been logging into Bullhorn ATS / CRM through Bullhorn.com, you will now be directed to the Universal Login Page. It’s recommended that you should begin bookmarking this new page for an easier login experience.
Why does it matter?
This change will unify the user login experience and make it more reliable and secure experience.
How do I enable this?
This enhancement will generally be available on January 21, 2025 for all users.
Resolved Issues
Leads – Sync: Improved Lead Syncing in Bullhorn Automation
Customers with Leads enabled will now see all lead records sync correctly during Initial Sync or Resync processes. This fix ensures complete data parity with the Lead entity in the ATS, allowing records to appear accurately in searches and process through Lists and Automations. Previously, not all Leads were syncing, causing incomplete data and missed records.
List and Search Criteria: “Has Activity” Criteria for Text Activity
We have resolved an issue where the “Has Activity” search and list parameter did not return correct results for Text activity. This occurred because the event type was not included in the query structure. Customers can now use the “Has Activity” parameter with Text activity and receive accurate results.
Merging Records: Syncing of Associated Records After Merge Activity
When a Candidate record is merged in the ATS, Bullhorn Automation now properly syncs and associates Submissions, Placements, and Notes from the secondary record to the new primary record. This resolves a previous issue where associated records were not transferring correctly, ensuring complete and accurate data after merges.
Timezone Management: Timezone Conversion on DATE Fields in APAC
We have resolved an issue where date values were incorrectly updated to the previous day when using an update step to copy a date field in the ATS. This occurred because date values were sent with a 00:00:000 timestamp, causing timezone conversion errors. Clients using automations to copy date fields, such as Placement End Date to Candidate’s Date Available, will now see accurate date values without unexpected shifts.
User Accounts: Auto-Deactivation for Inactive Users
User accounts will now remain active when activity is recorded within a 90-day period, as expected. Previously, an issue with the active user service caused user activity timestamps to not log properly, resulting in some accounts being incorrectly auto-deactivated despite recent activity.
Semantic Match – AI Auto Match
Increased Match Limit for AI Auto Match
What’s New?
We have updated AI Auto Match configurations to increase the Match Limit to support up to 275 matches per job record, up from the previous limit of 50.
Why Does It Matter?
This enhancement allows customers to match a larger pool of candidates to a single job record and reprocess jobs through a Match Step multiple times without hitting the previous limit. This improves efficiency, provides greater flexibility, and ensures broader candidate matching capabilities.

Cluster Information Added to Company Settings
What’s New?
The ‘Company Settings’ > ‘General’ section now displays the cluster assigned to each new and existing customer.

What’s New?
Administrators and users with Document Management Privileges can now manage document visibility at both the agency level and the document level when used with the “Is Personal Data” setting, offering enhanced control to support compliance and minimize risk. This functionality has been extended to include the ATS and federal documents, supporting the formats PDF, PDF with WebForm, and Video with WebForm.

Configure role-based visibility rules for documents, including agency-level documents, under General Settings. Roles include Admin, Compliance Representative, HR Manager, and HR Associate. Visibility options include:

What’s new?
Time & Labor Rules can now be configured to be US or Canada-specific. Similar to how US-specific rules can only apply to certain states, Canada-specific rules can only apply to certain provinces.
