Implement Document Level Visibility Controls

Onboarding Document Access Levels

What’s New?

Administrators and users with Document Management Privileges can now manage document visibility at both the agency level and the document level when used with the “Is Personal Data” setting, offering enhanced control to support compliance and minimize risk. This functionality has been extended to include the ATS and federal documents, supporting the formats PDF, PDF with WebForm, and Video with WebForm.

    • Agency-Level Visibility Settings:
Configure role-based visibility rules for documents, including agency-level documents, under General Settings. Roles include Admin, Compliance Representative, HR Manager, and HR Associate. Visibility options include:
  • Unredacted
  • Redacted
  • Unredacted during certification

onboarding365

  • Document-Level Visibility Settings:
Fine-tune visibility for individual documents via the Advanced tab in Document Management. The new configuration allows permissions to be set at the document level for PDF, PDF with WebForm, and Video with WebForm formats. Options include:
  • Inherit from agency (default)
  • Redacted
  • Unredacted
  • Unredacted during certification

Document-level settings override agency-level rules for precise control.

Critical Note:

This feature works in conjunction with the Is Personal Data checkbox on the Field Configuration page.

If fields you want redacted are not defined as personal data, they will not be masked. For more details, see the Document Privacy with ‘Is Personal Data’ Configuration.

Why Does It Matter?

These features improve compliance, reduce risks of exposure, and offer flexibility by allowing organizations to customize visibility for sensitive documents across the ATS, federal documentation, and onboarding processes.

Candidate Experience: Candidate Document Restart Now Retains Previously Populated Data

We resolved an issue where, after an HR user selected ‘Restart,’ the document fields appeared blank instead of showing the previously populated data, making the ‘Restart’ function behave like ‘Replace.’ When an HR user selects ‘Restart,’ the candidate will see the previously completed document with all fields retained, allowing them to make edits without starting from scratch.

Custom Attributes: Pay Rate Display

We resolved an issue where pay rates set as custom attributes in Onboarding365 were not properly truncated to two decimal places, leading to inconsistencies in the display format. Skip Flowback for I-9 Supporting Documentation

What’s new?

A new Private Label Attribute (PLA) called onboarding365DisableI9FileAttachments has been added to Bullhorn ATS. When enabled, this PLA will filter out I-9 family document attachments such as I-9 Worksheets, Receipts, Section 3, and more. This prevents them from flowing back to Bullhorn ATS from Onboarding365. By default, this PLA is set to False (disabled), meaning there will be no change to the current flowback of I-9 supporting documents unless manually enabled.

Why does it matter?

This feature gives administrators greater control over the flow of sensitive I-9 documentation, allowing them to manage where these documents are stored. For teams that prefer to keep I-9 supporting documents within Onboarding365, enabling this PLA enhances document privacy and reduces unnecessary data clutter in Bullhorn ATS.

If an SSN Receipt is resolved, the new SSN will be synced to Bullhorn ATS immediately.

Why does it matter?

Previously, SSN and DOB information was only sent to Bullhorn ATS after the completion of Onboarding, which could be too late for some use cases. With this update, syncing these fields immediately upon submission or update ensures that critical candidate information is available in Bullhorn ATS promptly, improving the efficiency and timeliness of your recruitment processes.

What’s new?

  • Custom Sender Email Address: Agency administrators can now set up a custom sender email address under Settings > Agency Information.
  • Transactional Emails from Your Domain: Transactional emails can now be sent from your own domain instead of estaff365.com.
  • DNS Verification Status Messages: The setup process includes DNS verification status messages to ensure proper configuration and deliverability.

Why is it Important?

  • Professional Branding: Sending emails from your own domain enhances your agency’s professional image and brand consistency.
  • Increased Deliverability: Custom sender email addresses, along with DNS verification, improve the likelihood of emails reaching recipients’ inboxes, reducing the chances of being marked as spam.
  • Enhanced Security: DNS verification helps ensure that emails are authenticated, reducing the risk of spoofing and phishing attacks.
  • User Trust: Receiving emails from a recognizable domain builds trust with your clients and recipients, leading to better engagement and communication.

How do I enable this?

To successfully send emails using an address belonging to another domain, customers must update their DNS settings to include a DKIM (DomainKeys Identified Mail) record. This step is crucial for email authentication, ensuring that the emails are not marked as spam and are delivered reliably.

Note: This feature is dependent on the Bullhorn 2024.7 release.
