Submittals Test Mode Enablement at Credential Level

 

What’s new?

Submittals users can now enable Submittals Test Mode at the Credential level. This was previously only available at the Account level.

Why does it matter?

This change allows you to selectively enable Submittal Test Mode without disabling full functionality on live credentials. This is useful if you onboard directly to production without testing in a non-production environment.

How do I enable this?

Do the following:

  1. In VMS Sync Admins Tools, go to the Accounts menu.
  2. Select the account you want to change and click View Account.
  3. Under Features, set the following:
    • Submittals Enabled: On
    • Submittals Test Mode: Off
  4. Go to the Credentials menu.
  5. Select the credential you want to change and click View Credential.
  6. Under Features, set the following:
    • Submittals Enabled: On
    • Submittals Test Mode: On

Locumsmart Positions VMS Attachments

What’s new?

Locumsmart positions now contain VMS attachments.

Why does it matter?

Position attachments usually contain info unavailable on the web posting. This change ensures no information is lost when jobs are created by VMS Sync.

How do I enable this?

Bullhorn users need to set one of the following to On:

  • Account Features: Global Attachments Enabled
  • Credential Features: Position Attachments

Salesforce users need to:

  1. Reach out to Bullhorn VMS Support to configure S3 Bucket settings. You’ll need to provide the following info:
    • S3 Bucket
    • S3 Access Key ID
    • S3 Secret Access Key
  2. Create a rule to add the attachment URLs to ATS Job field. (More information is available here.)

An issue has been resolved where authentication for Beeline credentials would fail. This fix keeps Beeline Credentials with valid login details enabled, ensuring continued position delivery.

Parsing: Missing Fields and Values for French Language Fieldglass Positions

Previously, Fieldglass positions with the French language preference wouldn’t successfully parse all fields. Additional fields are now parsed for French Fieldglass Credentials. This fix reduces the need to use VMS and ATS products simultaneously and perform manual job order edits.

Users with Rule writing permission can now add Rules to import French field values to the ATS Job Order

All other users can contact VMS Sync Support to add Rules

Positions: Missing IQNavigator Position Attachments

Previously, IQNavigator position attachments under the Customer Defined Fields section weren’t captured and delivered correctly. IQN position attachments now parse from the VMS to the ATS as expected. This ensures that information present in position attachments that aren’t in the VMS posting is kept and increases product reliability, reducing the need to use the VMS and ATS side by side.

 

The following Admin Tools settings must be enabled to benefit from this update:

  • Account Global Attachments
  • Credential Position Attachments

Positions: RTGExchange Positions Missing Start and End Date

RTGExchange positions now contain a start and end date. This helps to accurately calculate the duration of positions.

Requisitions: AyaConnect “Unknown response on authorization” Error

Updated backend handling to restore AyaConnect req processing to eliminate requisition delivery delay.

Submittals: Fieldglass “Max Rate Exceeded” Warning Repeatedly Displays

Resolved issue with Max Rate Exceeded warning message repeatedly displaying on the Submit to VMS form. This warning now only displays when you click out of the field. Displaying a warning message only when appropriate improves product usability.

Submittals: Fieldglass Submittal and Attachment Upload Issues

Multiple issues with Fieldglass credentials have been resolved, including fixes to submittal functionality and requisition attachment uploads. Being able to submit from within the ATS and successfully attach VMS documents to ATS jobs reduces the need for users to use VMS and ATS products side by side to manually correct ATS data.

Submittals: Honda Fieldglass Submittals Missing Qualification Fields

An issue has been resolved where Honda Fieldglass submittals didn’t display Qualification fields. This change lowers the time end-users spend manually entering data and toggling between the ATS and VMS Sync.

Submittals: PDF Resumes Cause VMS Submission Rejections in Fieldglass UAT

An issue was resolved and we now ignore Resume Assessment warnings from Fieldglass VMS when submitting Candidates to Positions. Bypassing this VMS warning prevents valid submissions from being rejected, reducing duplicate data entry and improving product reliability.

Submission Warning Message Parsing for Fieldglass Positions

What’s new?

VMS Sync can now parse Submission warning messages for Fieldglass positions and display them in a new Warning Submission Message field.

Why does it matter?

Clearer warning messages indicate when Fieldglass is no longer accepting submissions for a position and why. Viewing these messages within ATS jobs reduces the need to swivel between multiple products and prevents unnecessary work.

How do I enable this?

Users with rule-writing permission can add a rule to pull the value of additionalDetails.warningSubmissionMessage into an ATS field. All other users can contact VMS Sync Support to add rules.

Jobs – Open Source Career Portal: Issue resolved with submissions linking to deleted candidate records

An issue was resolved where the resumes of candidates who applied through a client’s Open Source Career Portal were being parsed as submissions to the candidate’s deleted record. This occurred when a candidate had a deleted record and an active record. This fix ensures the parsed resume only gets submitted to the active candidate record.

Customers with Leads enabled will now see all lead records sync correctly during Initial Sync or Resync processes. This fix ensures complete data parity with the Lead entity in the ATS, allowing records to appear accurately in searches and process through Lists and Automations. Previously, not all Leads were syncing, causing incomplete data and missed records.

List and Search Criteria: “Has Activity” Criteria for Text Activity

We have resolved an issue where the “Has Activity” search and list parameter did not return correct results for Text activity. This occurred because the event type was not included in the query structure. Customers can now use the “Has Activity” parameter with Text activity and receive accurate results.

Merging Records: Syncing of Associated Records After Merge Activity

When a Candidate record is merged in the ATS, Bullhorn Automation now properly syncs and associates Submissions, Placements, and Notes from the secondary record to the new primary record. This resolves a previous issue where associated records were not transferring correctly, ensuring complete and accurate data after merges.

Timezone Management: Timezone Conversion on DATE Fields in APAC

We have resolved an issue where date values were incorrectly updated to the previous day when using an update step to copy a date field in the ATS. This occurred because date values were sent with a 00:00:000 timestamp, causing timezone conversion errors. Clients using automations to copy date fields, such as Placement End Date to Candidate’s Date Available, will now see accurate date values without unexpected shifts.

User Accounts: Auto-Deactivation for Inactive Users

User accounts will now remain active when activity is recorded within a 90-day period, as expected. Previously, an issue with the active user service caused user activity timestamps to not log properly, resulting in some accounts being incorrectly auto-deactivated despite recent activity.

This functionality has been extended to include the ATS and federal documents, supporting the formats PDF, PDF with WebForm, and Video with WebForm.

Agile1 – Workpuddle date formatting

Previously, an Agile1 Special Billing table was being captured and normalized as “reqDetails.additionalDetails”. The Special Billing table has now been moved from Req Details to Additional Details in the Position JSON.

VMS release note

Users can now access this VMS field in Rules, allowing them to copy values to an ATS Job field, use values to set ATS Job value, and use values to ignore position delivery.

Credentials: Fieldglass position and submittal handling

Previously, position delivery for Fieldglass credentials was failing. Now, VMS Sync uses a new URL for Fieldglass credentials, preventing Position delivery delay and ensuring that Submittals forms load correctly.

Health report: VMS functions failing

Various VMS functions were failing for VNDLY credentials, including the ability to change passwords. Credentials require valid passwords to process positions for delivery. VMS Sync’s change password feature now uses a new URL for VNDLY Credentials, resolving the issue.

Positions: Intellify missing address values

Previously, Intellify positions were missing address values when addresses were present on the requisition. Address values have been added to Intellify positions and display as expected on the Company Mapping dashboard. This change allows healthcare customers to route positions to the appropriate ATS Company.

Positions: Acro position delivery failing

Previously, position deliveries for Acro VMS were failing because of expired credentials. Handling for expired password messages has been added, so you can use Sync to update passwords for dedicated Acro VMS Credentials. 

Generally available: Enable by setting the Login Credentials Dedicated to VMS Sync credential feature to Yes.

Positions: Missing Magnit positions

Previously, not all Magnit positions were being captured by the nightly position reconciliation process. Now, Magnit requisitions with any Status/Client value within the credential req list date range will be successfully processed. This change reduces delivery times, product swivel, and manual edits.

Positions: Workpuddle date formatting

Previously, VMS Sync wouldn’t capture startDate and createdDate values from Workpuddle Reqs. The date format of createdDate and startDate has now been changed from YYYY-MM-DD to MM/DD/YYYY. This new formatting ensures VMS Sync recognizes values as valid.

Requisitions: Beeline all statuses except “Open” failing to process

Previously, all statuses except “Open” were failing to process. Now, getReqList returns reqs in any status that is:

  • Within the default or configured date range
  • Not just the open status

And getReq processes correct Position status:

  • reqStatus corresponds with parsedStatus
  • Positions posted to Beeline don’t throw “req has been removed, should be closed” error

Einstein II API: Credentials

What’s new?

VMS Sync now supports Einstein II’s Order API for position delivery. Users can update existing Einstein II credentials or add new credentials with the API and Subscription Keys provided by Einstein II Support.

Note: While existing non-API logins are unaffected by this update, Einstein II strongly encourages all users to leverage their Order API to avoid risking account deactivation.

This change ensures that users retain position functionality with VMS Sync, improving their user experience.

What’s new?

A new account feature, Company Fuzzy Auto Link, has been added to improve company mapping auto-linking. When enabled, VMS Sync will attempt to auto-link a VMS company to an ATS company with the Zip Code and Google Place ID values provided by the VMS. When disabled, Sync attempts to auto-link based on exact and abbreviated Locations or exact Google Formatted Addresses.

Why does it matter?

These auto-linking updates improve the accuracy and frequency of auto-linking and reduce the number of jobs blocked for delivery.

How do I enable this?

Generally available: All existing accounts with Company Mapping enabled will have Company Fuzzy Auto Link enabled by default. Reach out to VMS Sync Support to disable this functionality.

We resolved an issue where user formatting wasn’t copied over to the destination field when adding a note to a record with the “Copy Note” functionality.

Company: Merging company records updates the client contact record and primary company record

We resolved an issue where merged company records would not update associated client contact records with the chosen primary company record on their profile. Along with this functionality performing correctly, outdated records will also automatically update.

Custom object picker: Search now supports apostrophes

We resolved an issue where clients could not find Candidates that have names with apostrophes when using the Custom Object search. This was impacting clients with their parsing and middle office integrations.

Files: Default file type respected with resumes sent through email parser

We resolved an issue where resumes sent through the email parser did not respect the default file type listed in system settings.

Reporting: Edit Canvas reports

We resolved an issue where some users were unable to edit Canvas reports because they created their accounts after the Cognos 11 upgrade.

Applicant quick add: Fixed phone number saving issue in quick add feature

Resolved an issue where entering a phone number in the Quick Add feature before specifying a home location and clicking “Save” caused the phone number not to be saved. The workflow has been updated to ensure phone numbers are retained regardless of the order in which information is entered.

Applicant records: Duplicate SSN error message displaying missing applicant IDs

For ATS customers using the duplicate SSN check, the error message now includes the ATS IDs of duplicate Applicant records when attempting to save a record with a duplicate SSN. This enhancement provides users with the details they need to quickly identify and resolve conflicts directly from the error message.

Previously, the error message did not display the IDs of the duplicate Applicant records, making it challenging to pinpoint and address the issue. With this update, the error message now correctly displays the ATS IDs of the duplicate records, ensuring users can efficiently resolve conflicts.

Credentials: UK date formatting consistency

An issue in the applicant portal where UK date formatting for credentials did not consistently apply in the correct format has been resolved. Date formatting for credentials now consistently displays as DD/MM/YYYY, whether the credential is added by a recruiter or the applicant.

E-Verify: E-Verify case report displays location legal name for separate client IDs

Fixed an issue where the E-Verify Case Report displayed the company name instead of the legal name. This issue caused confusion for customers managing multiple entities with distinct legal names under separate E-Verify Client IDs. The report now accurately reflects the legal name, ensuring improved clarity and precision for customers handling multiple entities.

E-Verify dashboard: Hire date on E-Verify tab discrepancy

Resolved an issue where the Hiring Date column on the E-Verify page did not align with the hire date of the details panel. The Hiring Date column now matches the details panel, ensuring a clearer and more consistent user experience.

Federal ID: Federal ID validation update for international applicants

The issue where the Federal ID for applicants from certain countries failed to save has been resolved. The system now correctly saves the Federal ID, ensuring all related fields are properly entered.

Forms: Radio/checkbox group fields not saving after PDF attachment

An issue where radio or checkbox group fields, when positioned as the first field following a PDF attachment, failed to save in the UI and appeared stuck has been resolved. All field types now save correctly, improving ease of use for administrators.

I-9 Dashboard: Filter blocks loading issue resolved

Resolved an issue where filter blocks on the I-9 Dashboard 2.0 failed to load for some clients. Filter blocks now load as expected, even when the associated counts cannot be retrieved, ensuring improved usability and reliability.

Resolved an issue where the Capture function produced a blank file upload when using laptops via a File Upload document/form. Files are now correctly captured and uploaded in the intended format, ensuring seamless functionality.

Column filters on list screens no longer reset upon refresh during an Advanced Search. Previously, column filters would incorrectly clear out if the page was refreshed while using Advanced Search.

Time & Labor: Multiple expense reports failing to sync

If multiple expense reports are sent together and not all synced successfully, performing a recalculation on the timesheet will now fix the issue. Previously, recalculating did not fix a failed sync.

Summary blocks are now accurately displayed on Timesheets in ATS. Previously, summary blocks were displaying inaccurately when adding then deleting quantities on a new row on a Timesheet in ATS.

Timesheet adjustments time input improvements

What’s new?

Several keyboard entry improvements have been made to the Timesheet Adjustments workflow in ATS:

  • Deleting and entering numbers mid-timestamp now works as expected (i.e. you can delete the 1 in 9:15 and replace it with 4 to make 9:45).
  • The time picker now accurately highlights the selected time when opened.
  • Partial times are now entered predictably (e.g. “08:3m” is now correctly converted to “8:30”).

Resolved an issue where notes synced into Bullhorn Automation referenced the wrong record when multiple records were listed in the Additional References parameter. Notes now sync correctly to the record specified in the About parameter, ensuring accurate associations.

Update to Multi-Account Pay Settings Form for Canadian Applicants

What’s new?

The multi-account pay settings form component has been enhanced to better accommodate Canadian applicants. A new required field for ‘Transit Number’ has been added, and the ‘Institution Number’ is now mandatory when the “I use a Canadian bank account” checkbox is selected. Both fields are subject to validation, with the Transit Number requiring five digits and the Institution Number requiring three digits. Furthermore, the form now respects the “Hide CA Account Checkbox” setting for field display, and external field mapping for Transit Number has been integrated into the ATS.

Update Copilot Branding to AI Assistant

What’s new?

Copilot is being rebranded to “AI Assistant” in Bullhorn ATS. All previous Copilot menu items, buttons, and labels within the system have been renamed to AI Assistant.

  • The “Copilot Admin” menu has been renamed AI Assistant Admin.
  • The Copilot generative card has been renamed AI Assistant and has been rebranded with a new icon.
  • Configuration and error messaging will now refer to AI Assistant instead of Copilot.

Why does it matter?

When we chose the name “Copilot”, the primary focus of our AI strategy was on Generative AI-driven “assistant” capabilities—namely, a copilot. The name “Copilot” is used by many companies for generative AI assistants, so it made sense at the time to use industry terminology.

Candidate Experience – Basic Information: Home Phone Field Correction

We have resolved an issue where the Home Phone field on the Basic Information page was incorrectly requiring a country code, even when the “Disable International Phone Numbers” toggle was enabled in the Staging and Production environments. Previously, users encountered confusion and frustration as they were unable to submit their information without providing a country code, which should not have been necessary under the current settings. This fix ensures that the Home Phone field functions correctly, allowing users to enter their phone numbers without the need for a country code when the toggle is enabled.

I-9: Missing Checkbox for ‘Alternative Procedure Authorized by DHS’ on Form I-9 Supplement B PDF 

An issue has been resolved with the Form I-9 Supplement B, where the checkbox for ‘Alternative procedure authorized by DHS to examine documents’ was not displaying in the final PDF. Previously, users were unable to see this selection, which could lead to confusion and incomplete documentation. With this fix, the checkbox now appears correctly in the PDF, ensuring that all necessary information is clearly presented and compliant with requirements.

I-9 Dashboard: I-9 Dashboard 2.0 Section 3 Link

The issue where clicking the Section 3 hyperlink from the I-9 Dashboard 2.0 opened the Section 1 document instead of the I-9 Supplement B has been resolved. Previously, users encountered confusion as they were directed to the wrong document, which hindered their ability to access the necessary information. With this fix, users can now access the correct document as expected, improving the overall functionality and user experience of the I-9 Dashboard.

Preliminary Information: Candidate Experience – Prescreening Data

An issue where applicants encountered a 500 error upon clicking “Complete Application” after entering prescreening data has been resolved. Prescreening information is now correctly saved to the database when applicants complete their profiles.

Preliminary Information, Settings: Postal Code Validation Fix

We have resolved an issue where valid Canadian postal codes were incorrectly flagged as invalid when the “Enable Country Selection” configuration was turned off and Canada was selected as the applicant’s country. Previously, this misconfiguration led to confusion and errors in the application process, as users were unable to submit valid postal codes. The fix ensures that postal code validation now accurately aligns with the applicant’s country, branch location, and primary location, effectively preventing similar issues with U.S. ZIP codes as well. This improvement enhances the overall user experience by ensuring that valid postal codes are accepted correctly.

Email Unsubscribe: BH4SF Unsubscribe Event Fix

BH4SF customers utilizing Bullhorn Automation for email notifications with Contact records were experiencing issues where the unsubscribe event was not properly writing back to the record in BH4SF. Previously, when a contact unsubscribed from a message generated by Bullhorn Automation, their record in BHA and subscription status would be updated, but this change would not reflect in the Contact record in BH4SF. With this fix, whenever a contact unsubscribes, we now ensure that their record in Automation and subscription status are updated, and this information is also accurately written back to the Contact record in BH4SF, resolving the previous inconsistency.

Notifications: Notification Issue Resolved

We have resolved an issue where notifications were not being generated to the ‘Job Assigned Users’ value. Previously, when notifications were configured to send to the users marked in the Job Assigned field, those users were not receiving any email notifications. With this fix, we will now properly generate email notifications to the users designated in the Job Assigned field whenever notifications are configured.

Previously, duplicate VMS Company results displayed to front-end users, preventing Positions from auto-linking. Sync’s Company Mapping has been enhanced to include abbreviations and full names. This increases the likelihood of auto-linking and prevents duplicate VMS Company results. Accurate VMS Company data is essential to link Positions to the correct ATS Company.

Credential: Email Tab Links Now Clickable

An issue with links in the Credential Email tab has been resolved. Links weren’t clickable and extended over the table boundary. Links are now clickable and respect the table boundary.

Parsing: SimpleVMS V2 – Company Name Parsing

Previously, VMS Sync parsed Company Name from SimpleVMS V2 Team Name. VMS Sync now parses Company Name from Buyer Name and uses Team Name only when Buyer Name is blank. This improves the accuracy of Company Name and increases ease of use for Company Mapping users.

Positions: Acro Status Update

Positions removed from Acro weren’t generating a Closed VMS Status. VMS Sync now automatically changes the Status of any position removed from Acro to Closed. This ensures inactive positions are categorized appropriately in the ATS, and users are notified of the change.

Status updates are a core function of VMS Sync, as candidates can only be submitted to positions in a submittable state. This state is usually Open and with a non-zero Opening Count.

Positions: Flexforce Timeout Error

Previously, Flexforce Positions were failing to process due to timeout errors. VMS Sync now uses Flexforce’s universal search to locate positions and quickly retrieve them for delivery.

Positions: Vector Bill Rate Max Parsing

Previously, the Bill Rate Max value in VMS Sync didn’t match the Bill Rate High value in Vector VMS. VMS Sync now uses the front-end value instead of the hidden Not To Exceed Rate value, and Sync/VMS rate values match as expected.

What’s new?

By enabling Bypass Company Mapping on a credential, Company Mapping users with Locations enabled can now deliver unlinked positions to the ATS under a default ATS Location. Users with Worksites enabled can now deliver these Positions with a blank location by enabling Use ATS Company. When enabled, VMS Sync delivers unlinked positions to the ATS Company associated with the ATS Location selected on the Credential but will “unset” the ATS Location before creating/updating the Position in the ATS.

Why does it matter?

This functionality was requested by customers who must keep ATS Location blank unless linked via Company Mapping. The functionality also increases data accuracy on positions.

Change Compliance Manager List Load Pagination Values

What’s new?

  • The pagination “Items per Page” value for 250 on Compliance Manager Novo lists will now be replaced with a faster-performing 200 option.

Change Advanced Search Reset & Clear functionality on the Compliance Manager List

What’s new?

We’ve replaced the Advanced Search RESET button on the Compliance Manager list with a CLEAR ALL button. Clicking CLEAR ALL will close the Advanced Search window, remove all current search criteria, and reset the list to its default state.

We’ve also added a new RESET VALUES option to the Advanced Search. Clicking RESET VALUES will clear all criteria values from fields you’ve added to your search, but will keep your selected fields ready for you to add new criteria.

Automatic Restart on Inactivity

What’s new?

We’ve added an automatic restart feature to Data Replication, which monitors for inactivity and restarts the system when needed. This update significantly reduces the risk of extended periods of inactivity in data replication processes, ensuring more consistent and reliable operation.

A new configuration option lets users set how long the system can be inactive before it automatically restarts. This includes the following changes:

  • New option in the application.properties file to set the inactivity threshold before restart
  • Monitoring system that checks for getdata call logs in the Data-mirror log file
  • Automatic restart of the dm application from the launcher if no logs have been added within the specified time frame

Note: This feature is only available for installations using the self-updating JAR file.

Configuration

A new configuration option has been added to application.properties:

  • inactivity.threshold.minutes: Sets the number of minutes of no activity before the application restarts
  • Default value: 10 minutes

Why does it matter?

This feature improves the reliability of Data Replication by preventing unplanned processing stops. It minimizes disruptions and ensures smoother operations, benefiting users who rely on consistent data processing. We can now proactively address issues without waiting for alerts, reducing downtime and enhancing system performance.

Administrator Experience: EffectiveEndDate Process No Longer Deletes eRecruit Documents

Previously, the EffectiveEndDate process could delete documents even if they had been used by eRecruit, leading to errors in the integration. This issue has been resolved, and the process will now only deactivate the document rather than delete it, ensuring smoother integration and preventing document-related errors.

Candidate Experience: Candidate Document Restart Now Retains Previously Populated Data

We resolved an issue where, after an HR user selected ‘Restart,’ the document fields appeared blank instead of showing the previously populated data, making the ‘Restart’ function behave like ‘Replace.’ When an HR user selects ‘Restart,’ the candidate will see the previously completed document with all fields retained, allowing them to make edits without starting from scratch.

Custom Attributes: Pay Rate Display 

We resolved an issue where pay rates set as custom attributes in Onboarding365 were not properly truncated to two decimal places, leading to inconsistencies in the display format. Pay rates will now be consistently displayed in the standard currency format across all onboarding details and documents, ensuring uniformity for recruiters when reviewing pay information.

What’s new?

At-risk emails, previously limited to Contractor onboarding types, now support Pre-Hire Screening based on the projected start date. This update introduces a new “Pre-Hire Screening At Risk” email configuration in agency settings, which will default to off. Recruiters can access and customize the email templates for both Onboarding and Pre-Hire Screening At Risk emails via the Email Templates tab under Agency Settings.

What’s new?

A new “Is Personal Data” checkbox has been added to the Field Configuration page. This feature allows Agency Administrators to easily mark fields as containing personal data.

This enhancement enables administrators to quickly hide sensitive information from unauthorized users, improving data security and privacy. By allowing this functionality directly within the Field Configuration page, it reduces the need for support requests or DBA involvement, streamlining the process and giving administrators more control.
